POSITION:                         Business Affairs /Human Resources Assistant
DIVISION:                         Business Affairs
REPORTS TO:                     Executive Vice President & GM, Director of HR, Director of Finance & Information Services
CLASSIFICATION:              Part-Time, Non-Exempt (25 hours/week)
HOURS:                             12:00 – 5:00 p.m.


Duties and Responsibilities:

  1. Provide administrative services for Executive Vice President and General Manager, Director of Human Resources and the Director of Finance and Information Services.  This includes preparation of correspondence, filing as requested, answering phone in the absence of Executive Vice President and General Manager and the Director of Finance and Information Services, and ordering office supplies.
  2. Provide assistance for Director of Human Resources. This includes handling phone calls and inquiries about positions, job postings, logging applications and distributing to hiring managers, arranging interviews, maintaining personnel files (including coordination of personal information updates with Payroll & HR records), tracking employee performance reviews and rate changes, preparation of monthly employee newsletter, assist with human resource projects and attend job fairs.  Assist in new hire orientation, as assigned.
  3. Assist in planning & execution of organizational celebrations, morale builders & staff events (birthday recognition & other life events, holiday parties, staff farewells)
  4. Assist the Director of Finance and Information Services or General Manager in preparing for meetings of the BOT Finance Committee and other Board committees.  Prepare and mail meeting notifications and agendas to Committee members.  As requested, prepare material for distribution and discussion at the BOT Committee meetings.  Take and prepare minutes for above-listed meetings and draft for management review prior to distribution to Committee members.  Plan and arrange for refreshments for meetings.
  5. Maintain records (electronic and paper) for the BOT Finance Committee according to the Record Retention policy; standardize file naming convention.
  6. Process purchase orders and invoices for Business Affairs Department.  Monitor Business Affairs division budgets, including projects. 
  7. Assist in the communication of ideas and information dissemination station wide to maintain optimum employee relations.
  8. Assist in coordination of the NYSBA broadcast trainee program, internship program and shadow programs with area colleges and high schools.
  9. Collect and submit time sheets for bi-weekly payroll for Business Affairs division.  Keep vacation, personal leave and sick time records for Business Affairs division.
  10. Serve as assistant to the President & CEO in the absence of the Executive Assistant or as directed; work with Executive Assistant to coordinate phone coverage during lunches, vacations & other absences.
  11. Participate in membership drives and other station events, as required
  12. Serve as member of back-up Receptionist roster, as needed.
  13. Assist with other division duties, as assigned.


EDUCATIONAL REQUIREMENTS:    A.S. Degree in Office Technology preferred.

EXPERIENCE:   Three years executive and/or administrative experience.                                                        
                       Human resources experience preferred.

SKILL                        Keyboarding:  60 wpm; accuracy essential
REQUIREMENTS:         Excellent computer proficiency essential (Microsoft Office programs); experience with HRIS preferred. 
                                 Well-organized with good spelling, grammar, and writing skills. 
                                 Proficient in operation of all office machines
                                 Basic bookkeeping skills

OTHER:                         Maintaining confidentiality and discretion essential. 
                                    Good telephone voice, ability to take accurate telephone messages, pleasant and courteous manner. 
                                    Professional appearance & communication style. 
                                    Able to prioritize and work efficiently where time constraints are involved. 
                                    Ability to be flexible with work schedule, as department needs require.
